When should you book your outdoor venue?

Your outdoor venue should be booked in January or February to secure just the right location. It’s always nice to book a green space that has a covered shelter with picnic tables. Lots of free parking is also something to consider, as well as transit friendly.

How do you decide which theme to include?

Your theme should be communicated to the audience months before the event occurs. Choosing a theme is like sewing. Once you have selected your theme, weave it like a thread through from the Save The Date to the Invitation, to the Agenda to the Menu. And then at the event, serve up the theme like caviar!

What makes a winning outdoor event?

When an award-winning outdoor event checks off all of the boxes, you know that you have a winning theme. During the design process, you can feel it. The excitement builds as you start to tie in the theme to the food, entertainment and activities. It’s hard to describe the feeling, but as a seasoned event producer, you can feel it all coming together.

What are the two most important things to do when planning your outdoor event?

1. Venue 
– select the perfect outdoor space for your group’s needs. Every group has different priorities, so make sure the amenities make sense for your event.

2. Entertainment / Activities – most people think that the food and theme are the most important items when planning an outdoor event, but they are wrong. People who attend the event want to be entertained, so make sure to have your agenda timing on point and have a wide variety of activities that appeal to all age groups.
